Flight booking confirmation message: what to write and six examples to copy

A good flight booking confirmation message tells the traveller who is flying, on which flights, what is confirmed, what is still to do and how to reach you. Below are the fields to include and six messages you can copy for WhatsApp or e-mail.

Updated

Travellers read the confirmation you send on their phone, often at the airport, often in a hurry. If a date is wrong or a name is spelled differently from the passport, the problem shows up at check-in. So the message has one job: let the customer check every important fact in ten seconds and know what happens next.

This guide covers the flight ticket confirmation message format that works for small and medium travel agencies, with examples for the situations you meet every day. It assumes a real booking that you hold in an airline system or through a supplier. Send nothing for a booking that does not exist.

What a flight booking confirmation message should include

Keep the order the same every time. Customers learn where to look, and your staff stop forgetting fields.

Fields of a booking confirmation message
FieldWhy it mattersTip
Passenger namesMust match the passport letter by letterWrite SURNAME/GIVEN NAMES TITLE as on the booking, for example AHMADI/KARIM MR
Booking reference (PNR)The customer and the airline desk use it to find the tripSix letters and digits. Say it is a reference, not a ticket number
FlightsThe core of the messageOne line per flight: airline and number, date, from and to, departure and arrival time
Date formatDay and month confuse peopleWrite the month as letters (30 Oct), never 03/10
Next day arrivalLate arrivals are often misreadWrite 0230+1 or "arrives 31 Oct"
StatusConfirmed or only held?Say plainly "confirmed" or "reserved, not yet ticketed, pay by 31 Oct 18:00"
Ticket numbersOnly once the ticket is issuedThirteen digits, one per passenger
BaggageThe top question after the bookingInclude it only if you have it from the airline, per passenger
Price and paymentAvoids disputes laterTotal, currency, what is paid, what is due and when
Next step and contactCustomers need to know what to doDocuments to bring, online check-in time, your phone number

Times are local to each airport. If your customer flies across time zones, say so once: "All times are local."

5. Airline changed the schedule

⚠️ *Flight change*

Before: AI 2487 30 Oct 1800 to 2050
Now: AI 2487 30 Oct 1930 to 2220

Reference: X7K2LM, passenger AHMADI/KARIM MR.
The airline moved the departure by 90 minutes. Your ticket stays valid. Please reply "ok" so I know you saw this.

6. Booking cancelled at the customer's request

⚠️ *Cancellation*

Reference: X7K2LM, AHMADI/KARIM MR
Flight cancelled: RQ 4401, 30 Oct, Kabul to Delhi
Airline penalty: 80 USD. Refund: 560 USD.
I will tell you as soon as the airline confirms the refund.

Quote refund timing only if the airline or your supplier told you for this ticket. Otherwise write "I will update you when the airline confirms."

What not to include

  • Full passport numbers or dates of birth. The customer already has them, and a WhatsApp chat can be forwarded or read on a shared phone.
  • Card numbers, bank passwords or one-time codes, ever.
  • Links you did not create yourself. Customers have learnt to distrust unknown links, so send the ticket as a file or a link on your own domain, and say so.
  • Fare rules you did not read. Say "baggage 30 kg" only when the airline shows it for that fare.
  • A promise about seats, meals or upgrades that the airline has not confirmed.
  • Internal codes the customer cannot use, such as fare basis or your commission.

WhatsApp or e-mail?

Use WhatsApp for speed and e-mail for the record. A common routine is a short WhatsApp message the moment the ticket is issued, then an e-mail with the e-ticket attached. Keep the reference and flight lines identical in both so nobody has to compare two versions.

  • WhatsApp: short lines, bold headings, no tables, one emoji at the top at most.
  • E-mail: a clear subject with the reference and date, full sentences, the e-ticket as an attachment, a signature with your agency name and phone.
  • Both: ask the customer to reply if anything is wrong. Most errors are found within minutes when asked for.

Check before you send

  1. Read each name against the passport copy.
  2. Check every date and the day of the week if the day matters to the customer.
  3. Check arrival times with +1 where the flight lands the next day.
  4. Confirm the status really is confirmed or ticketed, not waiting.
  5. Make sure the total matches what you quoted.

How Parvaz writes this message for you

Typing these messages by hand for every booking takes time. In Parvaz you paste a booking, a ticket or a photo of one into the message maker and choose the kind of message. It writes the booking details, ticket confirmation, price offer, payment reminder, payment received, flight change notice, cancellation or refund, check-in reminder and passenger list in the format shown above, using only what is in your input. Anything it cannot find, such as a baggage allowance you did not give it, is left out rather than guessed.

The same message can be written in 13 languages: English, Dari, Pashto, Persian, Arabic, Urdu, Turkish, Russian, Hindi, Uzbek, Tajik, German and French. Flight codes, times and names stay exactly as they are, so a customer reading in Dari still sees RQ 4401 and AHMADI/KARIM MR unchanged. You read the result, correct it if needed and send it. See the WhatsApp message maker for travel agents for how it works, or pricing to start.

Questions and answers

What is a flight booking confirmation message?

It is the message a travel agent sends after a booking is made or ticketed. It lists the passengers, booking reference, flights with dates and times, the status, the price and what the traveller should do next.

Is a booking reference the same as a ticket number?

No. The booking reference (PNR) is a six character code for the trip. A ticket number is a thirteen digit number for one passenger and exists only once the ticket is issued.

Should I send a confirmation before the ticket is issued?

Yes, but say clearly that the booking is reserved and not ticketed, give the deadline for payment and the price, and send a second message when the ticket is issued.

Can I send the same message in the traveller's language?

Yes. Write it once in the language you work in and translate it, keeping flight codes, times and names unchanged. Parvaz writes these messages in 13 languages.
