Payment reminder message for travel agencies: polite templates for WhatsApp and e-mail
A good payment reminder is short, specific and polite. It names the trip, the amount, the currency and the date, and makes paying easy. Below are templates for before departure, after the due date and for part payments.
Updated
Travel agencies carry other people's money risk. A held fare can expire, an airline can cancel an unticketed booking, and a customer who is chased badly may take their next trip elsewhere. The right message gets paid without damaging the relationship.
What every payment reminder should include
- The customer's name, so it is clearly addressed to them.
- What it is for: route, date and booking reference, so there is no doubt.
- The amount due and the currency code, not just a number.
- The due date and time, and what happens if it is missed (the fare may change or the booking may be released).
- How to pay, in your own words: the account or office details you already gave them, or "come to the office".
- A way to reply, and a thank you.
Say "balance due" when part is already paid, and give both numbers: total, paid, still due. It shows you are keeping accurate books.
Tone, in four rules
- Assume good faith. Most late payments are forgetfulness.
- Give a fact and a date, not blame. "The fare is held until 18:00 on 29 Oct" works better than "you still have not paid".
- Escalate in steps. Friendly first, firmer second, final third. Do not start at the third.
- Never threaten. Stating the real consequence of the airline's time limit is not a threat. Threatening a customer is a mistake and may be against local law.

Names, amounts and dates are samples. Replace them with real ones. Keep each message to a screen.

When to send reminders
| When | Message | Channel |
|---|---|---|
| A day or two before the fare hold ends | Friendly reminder with the deadline | |
| Morning of the deadline day | Short last call with the exact time | |
| Day after the due date | First follow up, assume it was missed | WhatsApp, then phone |
| A few days after | Final notice with the consequence | E-mail and WhatsApp |
| Balance on a ticket issued | Reminder before the flight date |
Write the real time limit from your booking, not a guess. Airlines set the ticketing time limit per booking, and it is shown in the PNR (see how to read a PNR).
What to avoid
- Messages with only "Please pay". Without amount, currency and reference, the customer has to ask you.
- Pressure words and capital letters.
- Reminding customers who have paid. Check your payments first.
- Sending a payment link you did not create or that points to a stranger's site. Customers learn to distrust those links.
- Putting card or bank passwords in a message. Never ask for them.
- Sending reminders at night. Good timing is working hours in the customer's time zone.
How Parvaz writes the payment reminder
In Parvaz the message maker has a payment reminder kind. You give it the booking or ticket and the amount, and it writes a short, polite WhatsApp message with the title Payment reminder, the amount due with the currency code, what it is for (ticket, reference, route) and the due date if you give one. The tone is always warm, never threatening. You can write it in 13 languages: English, Dari, Pashto, Persian, Arabic, Urdu, Turkish, Russian, Hindi, Uzbek, Tajik, German and French, so a customer reads the reminder in their own language while the references, amounts and flight codes stay unchanged.
When the money arrives, the same tool writes a payment received message with the amount, the method and the balance left. See the WhatsApp message maker for travel agents and the pricing page. For the words around the booking itself, read flight booking confirmation message.
Questions and answers
How do I politely ask a customer to pay?
Name the trip and booking reference, state the amount with the currency and the date, say what happens if the date passes and thank them. Keep to facts and avoid blame.
How soon after the due date should I follow up?
The next working day, with a friendly message that assumes the payment was missed. Escalate to a firmer message after a few days only if there is no reply.
Should I remind customers before the due date?
Yes. A reminder a day or two before the deadline, and a short one on the morning of it, prevents most late payments.
How do I word a reminder for a part payment?
Show the total, what has been paid, the balance due and the date, for example instalment 2 of 3. Giving all three numbers avoids disputes.
